  TERMS AND CONDITIONS

Thank you for booking the caravan.  Please read these terms and conditions for your own benefit

Check in is at 4pm at Butlin’s guest services.  Keys to the caravan will be issued (unless the keys are held in a key safe at the caravan) together with passes and the welcome pack.  Please do not attempt to enter the caravan before 4pm as security may ask you to leave.  The caravan should be vacated by 10am on departure day to enable the van to be cleaned before the next guests. Please ensure that you take all your belongings with you and if possible leave the caravan in a tidy condition.  All waste food and drink should be removed from the caravan and the heating turned to off.

The lead name per caravan is responsible for all guests in that van.  A damage bond of £100 is charged on all breaks.  On family breaks this can be paid by a cheque that is held on file and destroyed at the end of the break providing there is no major damage.  On adult only breaks, the bond is added to the final balance and refunded within 14 days providing there is no damage.  Should a damage bond cheque need to be cashed and the cheque has been stopped then we shall proceed through the small claims court and in all instances of major damage the police will be informed and a crime reference number obtained. In all cases of lost keys, sickness on the carpets, bedding etc then the cost of repair/replacement will be deducted from the damage bond. All adult guests MUST be on the electoral role or Butlins reserve the right to decline the booking.

On family breaks we accept guests to the maximum berthage of the caravan (max 6 adults, 8 in lakeside 13).  On adult only breaks we accept a maximum of 6 unless the owner per vans allows more.  As per Butlins rules there must be some over 25's in the caravan on all adult only breaks.  On family breaks Butlin’s do not allow all single sex groups.

SMOKING IS NOT PERMITTED IN THE CARAVANS, AT THE DOORS OR WINDOWS OR ON THE DECKINGS.  FAILURE TO COMPLY WILL RESULT IN YOU BEING ASKED TO LEAVE AND NO REFUND GIVEN.  THE DAMAGE BOND WILL ALSO BE KEPT.

Dogs are allowed in lakeside 14 only (2 maximum).  They must be on a lead at all times and on the caravan park only.  They are not permitted anywhere on the Butlin’s main complex which extends to between their accommodation.  Anyone found bringing a pet into any other caravan will be asked to leave immediately with no refund.  The damage bond is added to the final balance in all instances where a dog is taken and refunded after providing no major damage.  The owner of crescent 17 and lakeside 131 bring their own dog occasionally.  Guest dogs are not permitted in those vans.

Butlin’s operate an open water policy whereby all children must be supervised by an adult at all times around open water and under no circumstances go swimming in lakes, ponds or moats.

Should you arrive at the caravan and find any damage or cleaning issues you must notify us immediately on 01634 682154 or 07834 857248 or you will be held responsible.  Any problems arising whilst at the caravan should also be notified while there to enable us to have someone come to the caravan to check. We will not respond to any issues once you have returned home if not notified to us whilst there.

Some of the caravans have mattress protectors and bedding already on.  This is for protection of the bedding only and the covers are not removed after each let.  We therefore ask that you bring your own duvet covers, sheets and pillowcases to put on over the ones already supplied.  Should any of our covers be removed then you will be charged for replacements.  We ask that should the bedding be soiled during your stay that you notify us and leave the soiled bedding in the caravan for our cleaners to remove.

A holding deposit of 20% will be charged on all breaks and is payable within 14 days of booking (exception is lakeside 121 which is £100 non-refundable deposit per booking).  Each confirmation letter will state the date that the deposit and balance should be paid by.  In all cases the holiday will be re-advertised should payment not be received by the dates stated.  The balance of all breaks will be payable 8 weeks before departure.  If the break is booked with less than 8 weeks before the start date then the balance will be payable by the date stated on the confirmation letter.  The deposit is non-refundable. Should you wish to cancel the break once the balance has been paid, we will refund the balance only using the following scale of weeks before your break. WEEK 8, 80%, WEEK 7, 70%, WEEK 6, 60%, WEEK 5, 50%, WEEK 4, 40%, WEEK 3, 30%, WEEK 2, 20%, WEEK 1 10%

Please note that Butlins charge an admin fee of £10 per booking (raised to £20, 2 days before the break starts and £30 on the day) which will be added to the cost of your break.  Any amendments to the booking will also incur a £10 Butlins admin charge.  The price of the caravan is based on 50% accomodation cost and 50% use of Butlins facilities.

PLEASE NOTE I AM A BOOKING AGENT ONLY FOR THE MANAGED CARAVANS.  ONCE I RECEIVE ANY PAYMENTS I TRANSFER IT TO THE OWNERS OF THAT CARAVAN.  THE BOOKING THEN BECOMES THEIRS HOWEVER I HANDLE CORRESPONDENCE STILL FOR THE ENTIRE BOOKING PROCESS.  ANY CLAIMS FOR MONEY TO BE RETURNED IS FORWARDED TO THEM BY MYSELF.We recommend that you take out private travel insurance for any circumstances that are out of our control.  We do not take responsibility for any loss or damage to personal items within the caravan.  The caravan should be kept locked at all times when not occupied and during the night.  Butlin’s reserve the right to change any advertised entertainment and we cannot take any responsibility for this.

THE INFORMATION YOU SUPPLY TO US IS HELD IN ACCORDANCE TO DATA PROTECTION ACT.

WE USE THIS INFORMATION TO FACILITATE YOUR BOOKING. WE ONLY SHARE THIS INFORMATION WITH BUTLINS TO INPUT ON THEIR BOOKING SYSTEM. ONCE DETAILS ARE WITH BUTLINS IT IS COVERED BY THEIR POLICIES.

WE THEN ONLY HOLD THIS INFORMATION FOR TAX PURPOSES.

YOUR INFORMATION IS NOT SHARED WITH ANY OTHER PARTY OR COMPANY AND WE WILL NOT CONTACT YOU WITH ANY OTHER MARKETING.

YOUR DETAILS WILL NOT BE SOLD OR SHARED WITH ANY THIRD PARTY FOR THE PURPOSES OF MARKETING OR RESEARCH .
